Procedure for study guidance for delayed students

The purpose is to ensure that study guidance is offered to delayed students and that relevant insights and trends are communicated internally in the Office for Study Programmes and Student Affairs (AUS), to DTU’s Executive Board, and to the academic units at DTU.

Study guidance for delayed students at DTU consists of three elements

  • Holding of information meetings for students who are delayed in their studies by 30-59 ECTS credits
  • Holding of individual interviews for students who are delayed by more than 60 ECTS credits
  • Evaluation, reporting, and further development

Holding of information meetings for students delayed by 30-59 ECTS credits

Every year, the Study Guidance Office in collaboration with the SU Office holds an information meeting for students who are delayed in their studies by the equivalent of six to twelve months. Data extracts from STADS are used to identify the students concerned.

The students are invited directly by email and must contact the Study Guidance Office to register.

The meeting is held in Danish and English on Lyngby Campus and in Danish on Ballerup Campus. At the meeting, general information is provided about study planning, SU rules, well-being, study techniques, etc. After the meeting, it is possible to ask questions of the study advisors and employees from the SU Office who have participated in the meeting.

Holding of personal conversations for students delayed by 60 ECTS credits or more

Each year, the Study Guidance Office invites all BEng, BSc and MSc students who are delayed in their studies by the equivalent of one year or more to individual interviews. Data extracts from STADS are used to identify the students concerned. When extracting the data, account is taken of students who are on leave of absence or have changed study programme.

The students receive an invitation by email from one of the permanently employed study advisors. The invitation includes a link to an interview booking function at DTU Inside, where students can book an appointment. The letter also refers to the information and guidance which are available for delayed students on the Study Guidance Office’ website at DTU Inside.

It is up to the individual student to decide whether they are interested in a conversation. The conversations are held by permanently employed study advisors. 45 minutes are set aside for each conversation. If relevant, students will be offered follow-up conversations with one of the permanently employed study advisors.

Evaluation, reporting, and further development

The study advisor completes an electronic evaluation form after each interview, noting down the issues discussed and any other relevant comments in an anonymised format.

Every year or every other year, the Study Guidance Office writes up memoranda summarising statistics on the study guidance for delayed students as well as trends for the director of the Office for Study Programmes and Student Affairs (AUS) and DTU’s deans.

The Study Guidance Office uses the evaluations to develop initiatives for students who are in need of special assistance. Among other things, in 2018, cooperation was established with the SPS Unit on guidance for students with functional impairments.
