Digital payments

When you make digital payments on behalf of DTU, specific rules apply to the payment methods you can use and how they must be documented.

You may use electronic payment methods such as MobilePay, PayPal or Rejsekort when making purchases on behalf of DTU. However, you must ensure that both the requirements for electronic documentation and the documentation requirements for regular purchases are met.

You may use MobilePay as a payment method. You can also use your DTU credit card in MobilePay on your work phone for payments.

Regardless of how you use MobilePay for work-related expenses, the MobilePay receipt alone is not sufficient documentation and must be supplemented.

You cannot use your DTU mobile subscription for payments (e.g. parking via phone). However, you may set up your work phone for payments using your private account.

If you use your phone in this way to make payments, you may use the confirmation SMS as documentation for your out-of-pocket expense. A screenshot of the SMS must be attached as documentation in your expense report in DTU Fusion.

You may use your personal Rejsekort for business travel; you simply need to provide a statement from your Rejsekort account as documentation of the transport expense.

It is also possible to obtain a Rejsekort Erhverv, which is linked to your unit’s EAN number. Invoices are sent directly to the unit. Rejsekort Erhverv may only be used for work-related purposes.

Whether you use your personal Rejsekort or a business agreement, fees for missed check-out cannot be reimbursed.

You may use PayPal for online purchases, and the PayPal receipt can be used as valid documentation. However, the following conditions must be met to avoid uncertainty regarding VAT and customs:

  • Place the order in DTU’s name
  • Use DTU’s address as both the delivery and billing address
  • Use your DTU credit card as the payment method
  • Provide DTU’s CVR number to the supplier so the shipment is clearly labelled with both DTU’s name and CVR number
