Electronic documentation requirements
All documentation, regardless of format, must meet DTU’s documentation requirements. Here you can see which types of electronic documentation are accepted and how to ensure that the quality is sufficient and the file format is correct.
DTU accepts several types of electronic documentation, provided that they include all required information and are clear and legible. An electronic document must be a true and accurate representation of the original and must be saved in a file format that DTU's systems can process (e.g. PDF, JPEG, TIFF, MSG, DOC or XLS).
Please avoid HEIC files, typically from iPhones, as they are often too large and cannot always be opened correctly.

Approved types of electronic documentation
The following types of electronic documentation are accepted:
- Electronic original document: Documentation received directly in digital form from the supplier (e.g. a PDF invoice sent by email)
- Photo of an original document: A photo of a paper receipt taken instead of scanning it
- Image of an SMS message: For example, payment of a parking ticket via SMS
- Scanned original document: A paper receipt converted into electronic form by scanning
It is your responsibility to ensure that the documentation is clear and readable. If required information is missing or unclear, the expense may be rejected.
