Booking flights

As a DTU employee, you must always book flights through Carlson Wagonlit Travel (CWT) – DTU’s contracted travel agency under the Danish government framework agreement.

If domestic flights are not offered through CWT, you may book the domestic flights outside CWT, as well as any related international flights that are connected to the domestic travel, for example travel to Greenland.

Ticket class and upgrade rules

As a general rule, you must choose the lowest available ticket class (Economy).

You may only upgrade to a higher class, such as Business Class, if both of the following conditions are met:

  • Your travel time exceeds 6 hours (from departure to landing)
  • You are required to perform work less than 12 hours after landing

Work activities may include meetings, teaching or giving presentations.

Participation in conferences, seminars, exhibitions and similar events is not considered work activity.

As a general rule, DTU recommends an additional overnight stay rather than upgrading the ticket class.

In cases of special medical needs, a higher ticket class may be chosen if approved by the Head of Department. A medical certificate may be required.

Travel in First Class is never permitted!

When upgrading, the reason must be documented in DTU Fusion when reporting the trip expenses.

If you need to purchase a new ticket

In special situations, you may purchase a new flight ticket yourself using your DTU credit card. This may, for example, be necessary if you are stranded during a stopover and your connecting flight is cancelled.

Please note: Cancellation insurance, travel insurance and similar insurance policies must not be purchased, in accordance with the rules on self-insurance.

You can always contact your local travel coordinator in the department for assistance with booking flights and accommodation.

Please note

Your travel profile in CWT is automatically transferred from DTU’s HR system. It is important that your name in the HR system matches your passport exactly - otherwise, you may experience problems with your flight ticket.
