Relocation expenses - Guidelines
In addition to negotiating salary and other working conditions it is possible for newly, internationally recruited scientific personnel to request help with moving of household goods (removal & relocation expenses) from abroad.
Criteria
To be eligible under these guidelines, the newly hired scientific employee must:
- Be internationally hired full-time members of the faculty, i.e., Professors, Associate Professors/Senior Researchers and Assistant Professors/Researchers.
- Move to Denmark from abroad in relation to the new position at DTU.
- Have a reasonable expectation of remaining in his or her position for a longer period.
Relocation expenses
Based on approval from the relevant Head of Department, DTU can offer financial relocation support up to one month´s salary including pension (and before tax) to full-time international scientific personnel.
Payment of allowed and approved expenses is processed as reimbursement of documented expenses related to relocation.
The Department’s budget covers the expenses regarding relocation.
This benefit is subject to Danish taxation and is taxable to the employee; the paying department must therefore contact the HR (Payroll team) via the contact forms on Inside Kontakt HR - DTU Inside, as soon as possible after a decision on payment has been made.
Assessment of the level of relocation support
When assessing the level of relocation support, the following aspects should be considered:
- The duration of the contract
- The family situation - whether the scientific employee is relocating with family or not and
- The distance between Denmark and the current country of residence
The candidate should present three offers from external moving companies, including costs of household goods removal and insurance of goods during transportation. The cost is covered by the department.
Approval of relocation support
The Head of Department assesses and approves whether the new scientific employee is eligible for relocation help. HR must be informed if financial support in connection with the relocation is being granted.List of expenses that can be covered by DTU, within reasonable limits
- Direct flight tickets (economy class) from origin country to Denmark (employee and accompanying family).
- Train tickets in case of transport to Denmark by train.
- Reasonable documented local transport expenses to/from airport or train station.
- Current DTU mileage rate in case of transport to Denmark by car.
- Transferring of furniture and other private belongings including insurance (though not pets, cars, machinery, weaponry, or similar) from the last le-gal address abroad to Denmark. Storage of furniture and private belongings is not included in the financial relocation support. However, transfer to Denmark can take place from a place of storage).
All expenses must be documented. In case of missing invoices or receipts there will be no legal ground for covering the expenses and reimbursement will not take place.
Relocation expenses are subject to Danish taxation and are taxable to the employee.
