Confidentiality of research evaluation
The research evaluation is confidential
The research evaluation is to be considered confidential. Your department should not publish the report on intra- or extranet, nor should you pass it around lightly.
The report is meant for the management of the department and for DTU’s executive board.
We recommend the following procedure for sharing the report findings:
- Head of department, deputy head of department, head of administration and heads of sections can receive the full report.
- The rest of the staff can be briefed on the whole report or the relevant parts of the report orally by the head of department or head of section.
- The report should not be passed around via email.
- Should you wish to show the report to externals, such as the advisory board at the department, print and number the report, and only allow reading of it on DTU grounds. Make sure that you retrieve all copies of the report by the end of the session.
PhD evaluation
Due to supervision of the PhD School performed by the Danish Ministry of Higher Education and Science the text on the PhD school in the self-evaluation will not be confidential.
This part of the report might be presented to the Ministry upon request. This is done to avoid 2 simultaneous evaluations.
Subject access requests (aktindsigt)
Should someone request subject access DTU will oppose this as the evaluation is meant to be an internal tool for strategic management.
Should the matter end up at the Ombudsman, DTU can be forced to publish all or parts of the evaluation since the Ombudsman has decided in favour of a request for subject access.
Have you received a request for Subject Access to a research evaluation report, you should immediately contact DTU’s legal office to get help.
