Procedure for holding a written exam

Approximately 14 days before the deadline for exam registration, a letter is sent out to all lecturers via the department's secretary about the matters the lecturer must be aware of in connection with holding the exam.

Information on exam forms etc.

  • The Study Administration (AUS) must be notified of all written exams via the reporting page: Exam reporting.
  • The Study Administration must receive the information by the specified date at the latest. The data is essential to the Study Administration's planning and holding of the individual exam. When the registration period has ended, the Study Administration draws up a room overview for all the written exams for which AUS is responsible.
  • If several lecturers are involved in the set of exam questions, please state which lecturer should be called for which exam question (A, B or C, etc.)
  • Please note that the aids mentioned in the course database and the reported exam form must match the text on the set of exam questions.

The exam assignment

  • The examiner must approve the exam assignment.
  • The printed exam assignments must be handed in at the exam office no later than five working days before the exam day.

If exam assignments are handed in at a different campus than where the exam is held, they must be handed in no later than seven working days before the exam day.

If the exam assignment is set digitally, the assignment must be uploaded no later than five working days before the exam day. If you are unsure how to upload the exam assignment, contact Arcanic Support on tel.: 45 25 74 43.

Afternoon exam

Approximately a week before the start of the exam, you can find information on which days the courses have the exam and whether they are held in the morning or afternoon at examenplan.dtu.dk. The lecturers and study secretaries must obtain this information themselves. The Study Administration sends out a reminder via email.

Rules for on-call lecturers during the examination

  • The on-call lecturer must stay at DTU during the entire examination.
  • A maximum of 10 minutes must elapse from the time the Study Administration contacts the lecturer until he/she arrives at the exam room.
  • Information about the lecturer's telephone number must be written on the information form. It can be a good idea to provide a mobile number.
  • If the lecturer leaves his/her office, information about any new phone number must be reported to the Study Administration by telephone at 45 25 73 00.
  • In case of extra time, the on-call lecturer must be able to be called for as long as the exam lasts.

Written exams where submission of mandatory assignments is a prerequisite for taking the exam
If students are not allowed to take part in the exam, the Study Administration must be notified no later than five days before the exam date.

The lecturer notifies the Study Administration which student does not meet the prerequisites for taking the written exam. That is done via email to: eksamen@adm.dtu.dk. The lecturer informs the student that he/she has cancelled the written exam.

Grade lists

Grade entry can start a week before the 1st exam day. The deadline for submission appears in the grade list.

Delayed grades

If grading is delayed, the students must be notified via DTU Inside, just as the Study Administration must be informed by mail.
