Study Administration

Mission/vision
To ensure the operation of all DTU's programmes, including the administration of exams, grade reporting, course registration, issuance of diplomas, and daily study administration, etc. Most student inquiries are directed to this office. The Study Administration is thus the central hub in managing the educational process at DTU. Another key task of the office is to ensure that students meet deadlines throughout their study programmes.

The office focuses particularly on:

  • Providing students with the best possible service so that the administrative aspects of their education run as smoothly and efficiently as possible
  • Ensuring strong coordination as a support function for departments in the area of study administration, with a focus on students.

Structure and workflow
The office consists of a head of office and 16 staff members.
Employees' tasks are organized to ensure both effective internal processes and strong collaboration with the departments. All major tasks within the department are carried out in smaller project groups. Examples include checking academic regulations, planning exam administration, handling students' programme changes, reporting course data, and registering and establishing study programmes, etc.

All processes in the office follow a fixed procedure consisting of a start-up meeting, task execution, and evaluation. Evaluations and suggestions for process improvements are based on digital logs maintained continuously during each task. Responsibility is delegated to the project group to improve processes; independent decisions are made, and the head of office is kept informed.

To ensure strong collaboration with departments, each employee is assigned to a number of departments. Each employee is responsible for maintaining good communication with the relevant contact person in the department regarding study administration matters. That is done through ongoing phone and email contact, as well as regular meetings with relevant contacts in the departments.
