Direct mails for alumni

APR Stakeholder Management continuously sends targeted emails - direct mails - to larger or smaller groups of alumni.

Direct mails can, for example, include invitations to specific events, requests for guest speakers, requests to answer surveys, etc.

We are not allowed to provide lists with contact information for alumni. Instead, we send invitations from our CRM/DTU's alumni database, which allows us to coordinate the mailings and avoid alumni receiving too many emails from DTU within a short period, thus preventing them from feeling spammed.

Additionally, this enables us to monitor if any email addresses or other information need updating, ensuring that the data quality in the alumni database remains as high as possible.

DTU Learn for Life prioritizes sending direct mails about lifelong learning offers - please contact Heidi Lorenzen, who will then coordinate the mailing with APR Stakeholder Management.

If you wish to send out a direct mail, please send an email to alumni@dtu.dk with the following information:

Target group/segmentation

Specify as precisely as possible who the mailing is intended for.

We can segment based on many different types of information:

  • Study programme
  • Education type
  • Graduation year
  • Residence
  • Age
  • Gender
  • Nationality

Additionally, for broader invitations, we can segment by interests - a maximum of 3 from the following:

  • Artificial intelligence

  • Construction and materials
  • Climate and nature

  • Environment and pollution

Language

Should the text be in Danish, English, or both?

Subject line

What should be in the subject line of the email we send out? It should briefly summarize the content of the message and entice the recipient to open and read the email.

Short text

We recommend 12-15 lines, preferably in short paragraphs. Please include a link to a website where more information can be found.

Time and place

If it is an event, remember to specify the time and place.
Note: As a rule, we only send direct mails with invitations to events that are scheduled at least 3 weeks in advance.

Price

Remember to provide information about payment or other special conditions if relevant. Consider offering a special discount to alumni for paid events.

Registration

Remember to provide a link for registration and the registration deadline.
