Identity management - DTUBasen
DTU’s identity database, DTUBasen, manages core information about employees, students, and temporarily affiliated individuals. Other systems rely on this data – for access control, initials, and organizational affiliation.
You must ensure that your information in DTUBasen is accurate and update it when changes occur. This includes job title, profile picture, DTU address, work phone number, private address, and emergency contacts.
If you need assistance, you can contact your local DTUBasen administrator. A list of administrators is available in the main menu of DTUBasen.
If you go by a name other than your full legal name, you can change the name displayed in the phone book and other systems without altering your official name. Your full name must remain in DTUBasen for purposes such as booking hotels and flights, which require your legal name.
Your local DTUBasen administrator must make this change to your display name/nickname.
If you prefer that your profile picture not appear in systems like the phone book or Outlook, you can hide it. This can be done under "Change personal data", “Account data that can be edited freely” in DTUBasen. Under “Account” select “Yes” for hidden picture.
In case of urgent absence, your local DTUBasen administrator can set up an auto-reply in Outlook via DTUBasen. Administrators can find instructions here.
For security reasons, there must be a separation of duties between user accounts if an employee is assigned special IT privileges on specific systems or servers. This is done by creating a separate user account with special IT privileges for the specific system or server.
Your regular user account may only be used for daily tasks such as email, calendar, internet access, etc. It must not be used for work functions that require special IT privileges.
Your account with special IT privileges may only be used for work functions that require these privileges and not for regular work.
Contact IT Support if you need to have an account with special IT privileges created.
The system owner of DTUBasen is the Head of Section for IT Infrastructure Services.
