Microsoft SharePoint is a collaboration platform where you can organize and share content with colleagues and external partners.

When creating a new SharePoint site, you should assess which platform to use based on who needs access to the site and the required level of data security.

On dtudk.sharepoint.com, data is stored in Microsoft’s cloud within the EU. It is part of Microsoft 365 and makes it easy to collaborate with both internal and external users.

Microsoft Teams and SharePoint 365 are closely integrated. When you use Microsoft Teams, all files stored on a Teams site are automatically saved on dtudk.sharepoint.com. This ensures that files are securely stored and can be accessed again—both through Teams and SharePoint.

By default, you can use Copilot to retrieve data from your SharePoint sites in the cloud. If you wish to hide a SharePoint site from Copilot, please contact SharePoint Support via the Service Portal.

When you delete an entire Teams site in Microsoft Teams, all files in SharePoint will also be deleted.

Share.dtu.dk

On Share.dtu.dk, data is stored on DTU hardware, making the platform ideal for collaboration in research projects across universities.

Create this type of SharePoint site via https://share.dtu.dk/. (Students must contact their supervisor to have a site created).

Intranet.share.dtu.dk

On Intranet.share.dtu.dk, data is stored on DTU hardware. Intranet.share.dtu.dk is only accessible to users in the DTUbasen, meaning external users cannot gain access.

You can grant access via DTUbase lists, allowing you to easily add DTU users. This makes the platform ideal for internal collaboration, as users automatically gain access when added to the connected DTUbase list.

You must request this type of SharePoint site through IT Support.

If there is no activity on a SharePoint site for an extended period, it will eventually be deleted.

  • 2 years of inactivity: The site is set to "read-only". An email is sent to all active DTU owners. If there are no active DTU owners, the email is sent to all active DTU users on the site.
  • 2.5 years of inactivity: The site is set to "no access". An email is sent to all active DTU owners. If there are no active DTU owners, the email is sent to all active DTU users on the site.
  • 3 years of inactivity: The site is permanently deleted and cannot be restored.

As long as a site has not been deleted, its status can be changed. If you wish to reactivate a site before the 3-year limit, you can contact IT Support.
