Help for evacuation drills
How to react and what to be aware of during the preparation, planning, notices, execution, an evaluation of the evacuation drill.
The overall purpose of organizing evacuation drills is to train regular users of a specific building in DTU’s evacuation procedure. Everyone should know how to react in the event of an evacuation, and all should familiarize themselves with the following:
- DTU’s evacuation procedure – including the functions of the three vests
- Locations of emergency boards
- Location of the assembly point
- Local escape route facilities
- And taking responsibility during an evacuation situation
Among other things, the above must be ensured by rehearsing DTU’s evacuation procedure and making yourself aware of the locations of emergency noticeboards and assembly points.
Evacuation drills must be run once a year in all buildings housing more than 50 people. If any factors call for a drill in a building with fewer people, the local emergency facilitator (BT) will assess whether this is required in cooperation with the local work environmental organization. If you wish to carry out more than one drill a year, this must be determined in consultation with the local management.
Preparation
Start by acquiring knowledge about your own buildings and finding any relations with other university units for the same building. Each building must carry out the evacuation drill jointly, and therefore it may be necessary to involve several university units/local emergency facilitators in cases with several units in the same building.

Planning
Define the drill group’s participants and appoint a drill leader. By using the ‘Drill guide’ tool and associated site plan, you can get an overview of the process and related work assignments. Likewise, use of the ‘Script’ template, which is a simple management tool, can be used to register known and expected actions in relation to the execution of the drill.
It is important to describe the purpose of the drill with targets that have been tailored to the users’ experience with the evacuation procedure. Remember that this is a learning curve for the drill participants, and there is a big difference between first-time participants and more experienced participants.

Pre-drill notices
14 days before:
- Inform CAS AB about the date, time, and building number by email to Jesper Fløche or Søren Fulgeberg
- Inform CAS EL in the same manner; Lyngby, Ballerup or Risø. For others, local agreements are in place, otherwise contact CAS EL Lyngby for advice). In the email drafts, find ‘Notice (central)’. Please note that CAS activates/disables the fire alarm and, if necessary, notifies the associated external emergency operations centre that a drill is being carried out.
- Inform CAS HVAC, Niels Gjerring Hansen, if the drill concerns B202, B220, B409, B127, and B324. .
7 days before:
It is recommended that you send an orientation email to the users of the building, so they can prepare. In the email drafts find ‘Notice (internal)’.
Special terms for Risø
Prior to the drill, the gatekeeper (portvagten) must be briefed 46 77 44 44 and for drills held at the peninsula, Dansk Dekommissionering 46 33 63 00 must be briefed as well.
Udførelse og evaluering
Follow the agreed plan (script), and make sure that observers and other assistants are aware of their responsibilities and roles prior to the drill. If necessary, use ‘Evaluation form’ found in the toolbox.
Evaluate the drill and report CAS AB to Jesper Fløche or Søren Fugleberg.
You should also inform the building’s users and management about the drill results and learning points. In the email drafts find ‘Reporting (internal/central)’.
