Events for alumni
APR Stakeholder Management hosts:
- five annual Graduation Ceremonies for newly graduated Bachelors of Engineering and Masters of Science in Engineering (in June and November)
- an annual PhD Graduation Ceremony (in November), as well as
- the President's annual alumni evening.
Local alumni events
If your department would like to organize a local alumni event, APR Stakeholder Management is happy to contribute:
- Overall planning
- Clarification form to help define and outline purposes, frameworks, etc. (including ensuring long-term benefits – how the event can be used strategically to strengthen the relationship with alumni/involvement of alumni)
- Advice on best practices, principles for alumni events (including advice on the use of networking)
- Registration
- Advice on setting up registration in Conference Manager
- Possible handling of registrations (if it is an event only for alumni)
- Marketing
- Help with marketing to alumni (sending invitations via direct mail + possibly newsletters and social media)
- Materials about DTU Alumni (visibility at the event itself in the form of roll-ups, etc.)
- Data on alumni
- Maintenance of a DTU's alumni database (updates via event registrations from Conference Manager)
- Maintenance of a DTU's alumni database (updates via event registrations from Conference Manager)
The department is responsible for everything else, including:
- Financing
- Academic content, including formulation of texts for marketing
- Practical implementation, including handling registrations/participants
Marketing opportunities
- Direct mail invitation to relevant alumni
- Mention in the newsletter to alumni
Also, please consider how you can help create awareness about the event through the networks and contacts that you and your researchers/teachers have.
In special cases, it may also be possible to send invitations by post to alumni for whom we do not have email addresses.
Good advice on events for alumni
If your department wants to organize special alumni events, we recommend considering how you can use specific activities to engage alumni in various ways:
- meeting current students (potential for mentorships, internships, project collaborations, etc.)
- meeting lecturers and researchers (potential for finding guest lecturers, case studies, test subjects, contacts for new collaborations among alumni's companies, etc.)
- or perhaps involving alumni in innovation activities.
An easy way to connect with alumni is to look at what activities are already happening that might interest them (PhD defenses, special lectures, public events, etc.).
We recommend scheduling events outside of working hours – we typically hold events from around 16:30-18:00 or sometimes in the morning from 8:00-9:00.
Unless the event lasts many hours and overlaps with normal mealtimes, extensive catering is not necessary – we recommend water and fruit or an energy bar, possibly coffee/tea.
