Fee Reimbursement for Extensions of Work and Residence Permits Conditions for Third-Country Citizens
DTU will reimburse international scientific employee (VIP) and their accompanying family members for application processing fees paid to SIRI for extensions of work and residence permits. This applies when the extension is required due to a prolonged employment period or job changes at DTU, including transfers between departments or centers.
Important Notes:
- Employees may not use a DTU credit card to pay these fees.
- Fee reimbursement requests must be submitted through DTU Fusion. E-forms cannot be used for this process. Therefore, we strongly recommend submitting your request while you are still employed and have access to DTU Fusion.
- You can request reimbursement as soon as your biometrics have been recorded.
DTU will not reimburse fees for:
- The employee’s first employment contract/letter at DTU.
- A new contract if there has been a gap in employment at DTU.
Additional Information:
- The fee reimbursement application must be submitted within the same calendar year as the permit application.
- Reimbursements for family members are taxable as B-income, meaning you must pay the tax directly to the tax authorities. This will not be processed through HR or your salary.
- The reimbursement process requires approval from both the HR Work and Residence Permit Team and the Financial Department, so processing may take some time before payment is issued.
